Who we are

This website, jonwarren.me (the “Site”), is operated by Jon Warren Media (“we,” “us,” “I”), based in Queensland, Australia. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have.

We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles, and, where they apply to you, the EU/UK General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA/CPRA).

What we collect

Information you give us directly:

  • Newsletter signups: your first name and email address when you subscribe to Operator Notes.
  • Forms and applications: when you submit the contact form or an advisory application, we collect the information you provide; name, email, business URL, revenue range, and the details of your message or application.
  • Purchases from this website: name, email, billing details and order history. Payment card details are collected and processed by our payment processors (such as Stripe or PayPal). We never see or store your full card number.
  • Correspondence: if you email us or reply to a newsletter, we keep the correspondence.


Information collected automatically:

  • Usage and device data: pages visited, time on site, referring site, browser type, device type and approximate (city-level) location, collected via cookies and similar technologies.
  • Email engagement: whether newsletter emails are opened and which links are clicked, via our email platform.


We do not knowingly collect sensitive information (such as health or financial account data) and ask that you don’t include it in forms or applications. This Site is not directed at children under 16 and we do not knowingly collect their information.

How we use it

We use personal information to:

  • Send you Operator Notes and other emails you’ve signed up for
  • Respond to enquiries and assess advisory applications
  • Fulfil orders, process payments and provide customer support
  • Understand how the Site is used so we can improve it
  • Show and measure advertising for our own products and services
  • Meet legal, accounting and tax obligations


Where GDPR applies, our legal bases are: consent (newsletter, marketing cookies), contract (purchases, advisory engagements), legitimate interests (site analytics, responding to enquiries, securing the Site) and legal obligation (records we’re required to keep).

We do not sell your personal information, and we don’t share it with third parties for their own marketing.

Cookies and tracking

The Site uses cookies and similar technologies for three purposes: essential site function, analytics (e.g. Google Analytics 4), and advertising measurement (Meta Pixel, Google Ads Conversion Tracking used to measure and improve our own ads).

You can control cookies through your browser settings, and where required by your location, through the cookie banner on this Site.

Blocking non-essential cookies won’t stop the Site working.

Who we share it with

We share personal information only with service providers who help us run the business, and only for that purpose:

  • Email marketing: ActiveCampaign (email list hosting and sending)
  • Website hosting: Pressable
  • Payments (when active): Stripe and/or PayPal
  • Analytics and advertising: Meta, Google, LinkedIn, Reddit, TikTok, YouTube
  • Business tools: scheduling, form and accounting providers we use to operate


Some of these providers store data outside Australia, primarily in the United States and the European Union.

Where we transfer data internationally, we rely on providers’ compliance frameworks and contractual safeguards (such as Standard Contractual Clauses where GDPR applies).

We may also disclose information if required by law, or as part of a sale or restructure of the business (in which case this policy continues to apply to your data).

How long we keep it

  • Newsletter data: until you unsubscribe, plus a suppression record so we don’t accidentally email you again
  • Enquiries and applications: up to 2 years after last contact
  • Purchase and tax records: 7 years, as required by Australian law
  • Analytics data: per the retention settings of the analytics provider (we use the shortest practical setting)

Your rights and choices

Depending on where you live, you have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent at any time.

Regardless of where you live, we extend the basics to everyone: ask us what we hold about you, ask us to fix it, or ask us to delete it, and we will unless the law requires us to keep it.

  • Unsubscribe: every email we send has an unsubscribe link that works immediately.
  • Requests: email hello@jonwarren.me. We’ll respond within 3 business days.
  • Complaints: we’d appreciate the chance to fix any issue first via hello@jonwarren.me. You can also complain to the Office of the Australian Information Commissioner (oaic.gov.au), or your local data protection authority if you’re in the EU/UK.
  • California residents: you have the right to know, delete, correct, and opt out of “sale” or “sharing” of personal information. We don’t sell personal information; to the extent advertising cookies constitute “sharing” under the CCPA, you can opt out via the cookie controls or by emailing hello@jonwarren.me. We don’t discriminate against you for exercising these rights.

Security

We use reputable providers, encryption in transit (the Site is served over HTTPS), access controls and two-factor authentication on the systems that hold your data.

No internet transmission is ever completely secure, but we take reasonable steps to protect your information, and we’ll notify you and the relevant regulator of any data breach as required by the Notifiable Data Breaches scheme and other applicable laws.

Changes to this policy

We’ll update this page when our practices change and revise the date at the top.

Material changes affecting how we use your data will be flagged by email or a notice on the Site.
